coordinating schedules, managing inboxes, updating records, preparing materials, and supporting communications.

Overview
You’ll partner with program leads (End-of-Life Doula, Vigil, Caregiver Coaching, Legacy, Outreach) to ensure
accurate scheduling, timely follow-up, and organized files. You’ll also help maintain our internal
tracking—supporting grant reporting and impact storytelling, so resources reach the neighbors who need them most.
Core Responsibilities
- Manage shared inbox triage (tag/route messages, draft friendly replies, track follow-ups).
- Schedule intakes, volunteer orientations, community circles, and team meetings.
- Maintain contact lists, intake logs, referral sheets, and program calendars.
- Prepare simple documents: sign-in sheets, agendas, slide handouts, one-pagers.
- Update website content blocks (minor edits) and post event listings as guided.
- Support data entry for services delivered (counts, demographics, outcomes snapshots).
- Assist with donor/partner thank-you notes and light mail merges.
- Keep files organized: naming conventions, versioning, and accessibility-ready formats.
Time Commitment
- 2–6 hours per week, flexible scheduling; remote-friendly.
- Minimum preferred term: 8–12 weeks to learn systems and build rhythm.
Qualifications
- Organized, detail-loving, and reliable; you enjoy finishing tasks and closing loops.
- Comfort with email, calendars, spreadsheets, and shared drives (we’ll orient you).
- Clear writing and a warm, professional tone in messages and docs.
- Discretion with sensitive information; alignment with our equity-centered mission.
- Ideal for: Organized, behind-the-scenes hearts; admin pros; students building experience.

- Templates for emails, agendas, trackers, and simple reports.
- Light website/admin guidance for posting events or edits (no coding required).
Screening & Onboarding
- Volunteer application and quick conversation with admin lead/ED.
- Reference check (role-dependent).
- Access to shared folders, style guides, and calendars.
- Begin with a small project (e.g., inbox triage + calendar sync) to get comfy.
